BOARD OF TRUSTEES REGULAR BOARD MEETING

Board Meeting Minutes: The regular meeting of the IPDPL Board of Trustees was called to order at 4:00pm. Members present were Koehler, Kramer, Pugh, Rush and Santos. Peterson and Zoss were absent. Director Frederickson and a visitor, Brenda Keller, were also present. A motion was made and seconded to accept the minutes from the Tuesday, August 12, 2008 board meeting. All voted yes.
A. Levy Ordinance: a motion was made by Pugh and seconded by Kramer to pass Ordinance 08-9 to levy $630,000 for general corporate purposes, $5,500 for employer contributions, $4,000 for IMRF, $1,000 for audit, $1,000 for liability insurance, $80,000 for maintenance, and $210,000 for working cash, for a total levy of $931,500. All voted yes.
B. Benson Branch and Washburn Branch Schedules: librarians at both branches have requested changes to the schedules. Director Frederickson will work with the librarians and provide more information at the next board meeting.
C. Germantown Hills site: Director Frederickson continues to provide information to library building consultant Fred Schlipf. Fred Schlipf needs the additional information to finalize his document. The visitor, Brenda Keller, then asked questions about the progress towards building a new branch library in Germantown Hills.
D. Volunteer Dinner: the dinner will be on Thursday, November 13, 2008 at the Christian Union Church. Arlan and Marilyn Roberds will provide entertainment.
E. Policy: discussion on policy was tabled until the next board meeting.
F. Payroll changes: in order to comply with existing payroll laws, payroll for hourly workers must be paid within a 13 days from the end of the pay period. Therefore, a change in the timing of the signing of payroll checks will occur. Checks for one pay period will continue to be signed at the monthly board meetings. Two board members will need to sign checks for the second payroll sometime during the month, every month.
G. Electronic transfers: in order to add an additional level of internal control, electronic transfers made to governmental agencies will now be initiated by the bookkeeper and subsequently approved by a board member. This approval process will be done online.
A motion was made by Santos and seconded by Kramer for approval of bills and requisitions. All voted yes.
The meeting was adjourned at 4:40pm. The next regular meeting will be Tuesday, October 7, 2008 at 4pm at the Metamora Branch Library, 208 E. Partridge Street, Metamora, IL 61548.
